Time Matters Curriculum
Getting Started
Staff overview training introducing calendar entry and linking calendar items to contacts, clients, matters and vendors and tracking associated appointments, tasks and documents.
Beyond Calendaring
This class is for those that have used the program for more than 6 months, or have attended the Getting Started Class. Automating reminders and having Time Matters create records based on user input. Document Assembly using Time Matters to create documents through the formattable clipboard and/or merging.
Installation and Configuration Session - During this session the Consultant will install the software and set up the security, user settings and basic screen formats. It is helpful for the client to provide Case Setup Sheets or forms used to gather client information. Basic design will be set up for matters, contacts, events and other calendar items. Our Consultants know how to set up the program to get you started properly. (half day)
Linkage to Time & Billing – Data from Timeslips can be imported into Time Matters and the bi-directional linkage is created. Codes are matched to enable the Timekeepers to send all records in Time Matters to Timeslips for billing purposes. Lists are created to assist the timekeeper in viewing “billed” time. Our consultants know how to set up the program to get you started properly. (half day)
Basic Calendaring – Staff overview training introducing calendar entry and linking calendar items to contacts and matters. Printing of calendar formats and lists are covered. The first part of the class is a group session to learn the basics of calendaring. This is followed by one-on-one sessions with staff members to customize the view of their calendars and to reinforce the data entry skills for calendaring. (half day)
Calendar Chains and Event Calculation – Prior to this session, the attorneys/staff should prepare a list of the chains they would like to have. The trainer will incorporate the request into the first part of this session, which is a staff overview of how to use chains and calculation tables for calendaring. This is followed by a session with one or two staff members, who will explain the chains. They may participate in the chain creation or leave that to the trainer. After the creation, the chains are tested and demonstrated for the staff members. (half day – depending on the number of chains that are to be created, this might require multiple sessions)
Screen Design – The forms for all records in Time Matters are very customizable. Matter screens can be adapted to meet the special needs of certain areas of practice. (Each area of practice might require slightly different information.) Likewise, different types of contacts might require different screens for data entry. For example, a court “contact” should include fields for the clerk and judge. This session is devoted to designing and/or training the users on ways to customize the screens in Time Matters. Preparation of diagrams for the trainer is extremely helpful. (half day)
Document Management – This session is devoted to learning about how to use Time Matters for organizing your documents, creating a brief bank, creating centralized access to forms and word searching documents with Boolean logic. Scanning and linking documents to matters is also covered. (half day)
Document Assembly – Using Time Matters to create documents through the formattable clipboard and/or merging is the topic for this session. The trainer will create a series of agreed-upon documents, and then show the staff members how to use them. (1 day – this could be a multiple session project depending on the number of documents to be created)
Outlining – This session is devoted to understanding how to create outlines that document and monitor the process of a case or matter. This session is devoted to understanding the process and designing a meaningful outline. This requires the interaction of one or two staff members to provide input on the events. (1 day)
Triggers and Chains – This session is devoted to automating reminders and having Time Matters create records based on user input. For example, a trigger can be set so that every time a new matter is created, Time Matters automatically creates a To-Do for a staff member to send out an engagement letter. The managing partner can receive a pop-up message when a new matter is created. The trainer will create triggers/chains to meet the needs of the firm and train the staff on creating additional items. (half day)
E-mail, Snail Mail and Phone Call Automation - During this session the focus is on organizing electronic, voice and hard copy correspondence in Time Matters. An overview session is set for the staff members, followed by configuration by the trainer. (half day)
Customized Training Session – You pick the topics and the training style, as well as the duration.
Customized Configuration and Design – You pick the topics, and we do the rest.
